A PRACTICAL GUIDE / 6 MINUTE READ

Make customer price sheets from one Excel file.

You have a product list, several customer discounts, and a folder of PDFs to prepare. The reliable starting point is one row for each customer and product. From there, SheetParcel can group the rows and make an individual document for each customer.

1. Put the customer on every row

A visual heading above several products is easy for a person to read, but hard for a batch tool to interpret. Repeat the customer name on each product row. A unique customer ID is useful when two businesses have similar names.

CustomerCustomer IDProductList priceDiscount (%)
Northline SuppliesC-001Fitting set49.9010
Northline SuppliesC-001Seal kit32.0010
River & StoneC-002Fitting set49.9015

These fictional rows produce two PDFs. Northline receives two products; River & Stone receives one. Products are included only for customers whose rows contain them.

2. Decide which prices you want to share

Use a clean copy of your workbook. Include only the intended customers and products. Hidden or filtered rows still count as rows in the file, so filtering alone does not remove them.

If prices depend on Excel formulas, recalculate the workbook and paste the final values into the clean copy. SheetParcel flags mapped formula cells so it cannot accidentally use a stale cached price.

3. Make discounts explicit

In the discount column, enter 10 or 10% for ten percent. A blank discount means zero. In the example, 49.90 less 10% becomes 44.91; less 15% becomes 42.42 after rounding. Net prices are rounded individually to two decimals.

For text or CSV prices, choose the number format that matches your file. 1,234.56 and 1.234,56 represent the same amount under different settings. Choose a single currency for the batch.

4. Match the columns and add your branding

Open the free SheetParcel demo and choose your file. Customer name, product description and list price are required. SKU, customer ID, address, discount and currency columns are optional. The app tries common English and Dutch headers, and you can change every match yourself.

Add your business name and, optionally, your logo, colour and ordering note. Choose an English or Dutch PDF and label whether the supplied prices include or exclude VAT. The app does not calculate tax.

5. Review before you send

Check a customer with no discount, one with a discount, and any customers with similar names. Confirm the product codes, currency and expiry date. Review every generated PDF before distributing it; a neat document still depends on correct source data.

The demo previews all customers and exports the first customer's PDF with a demo footer. The offline edition creates a ZIP of separate PDFs for the whole batch.

Why use an offline utility?

If your customer prices are sensitive, keeping the file local can be useful. SheetParcel processes the spreadsheet and creates PDFs on your device. The purchased HTML file can run without an internet connection, with no account or Excel installation.

For invoices, live stock, customer email automation or complex pricing rules, use a system designed for those jobs. SheetParcel handles the document step after your prices have been decided.
